The Official Hyderabad Offline Meet(G2G) Thread

Met Kaleem Sir today and it was a pleasure talking to him about his rides and XBhp Hyderabad. Since, XBhp core team(GIR team) is coming here next to next week, he has proposed a few things. There are 7 riders(5 bikes) and may be couple more crew members. So for total of 10 riders, we honor them with memento's from XBhp Hyderabad chapter. Interesting thing is that these memento's are traditional metalwork done at Tenparthi (near Uppal) and are of the shape of Charminar with metal emblems mentioning Great Indian Roadtrip and XBhp Hyderabad chapter...
Also, he has proposed a late night ride with them to Charminar, which is illuminated to full glory in the night. Late night ride will ensure minimal traffic and make it a possibility for working people. Next day we can ride with them in the Necklace road in the wee hours of morning and bid them farewell.
Please pour in your suggestions and ideas. We ll have to decide upon this and order requisite stuffs accordingly.

I have promised him that we will all meet the GIR riders in Hyd, so please call me once the plans are made.

Finally we have info. of GIR team and their plans.... They ll be here on 10th evening.... There won't be any event on 10th as they may reach late.... They will stay at Skyway Banjara Hotel, Road No-1.
The tentative plan is to ride with them to Charminar on 11th early morning. That is, start from Skyway Banjara Hotel at 6~6:30 AM, ride along with them to Charminar. After the ride and get together, we ll be back to their Hotel by 9 AM and start for our office/college for that day. Later in the evening we ll have a dinner cum honor event with the GIR team at Paradise and we need to be there by 7:30-8 PM. We are in talks with Paradise authorities for prior reservations for this. But we need exact count of the people for dinner event before reservations.
The GIR team will start from Hyderabad on 12th. As such we have only 1 day for all these events. Please block your calenders for this event and make it a Grand success.

We ll keep you posted for any recent developments. Please pour in your suggestions for any amendments.

After a hectic and fruitful day we are done with all arrangements for the meet with GIR team. They ll start from Vijaywada on 10th morning and will be here in Hyderabad either by afternoon or by evening. The plan is to welcome them somewhere around L B Nagar and escort them to the Hotel Skyway Banjara (also known as Crystal Banjara). A few volunteers along with Kaleem Sir, would be there in Hotel on 10th evening to help them out with anything needed.
Next day, we will ride with GIR team in early morning. We will assemble on the opposite side of Skyway Banjara (Google Maps) on 11th morning.
The plan is to
1)assemble at 6 AM sharp at the Skyway Hotel(on the opposite side),
2)get started for Charminar at 6:20 sharp,
3) reach Charminar at 6:45 and be there till 7:15(we are in talks with traffic
police to take care of any fuss regarding riding in such big group),
4) Start at 7:20 sharp for Necklace road,
5) Reach Necklace road by 7:50 (MMTS station and park bikes in the adjacent
parking lot) ,
6) Spend sometime there with GIR team,
7) Get Started for Office/College 8:30 AM onwards.

Later in the evening we- XBhp Hyderabad Chapter, would be hosting a dinner for GIR team at the Skyway Banjara Hotel at 7:30 PM onwards(and honor them). The change in venue was done to ensure two things. Since, the major chunk of XBhp Hyderabad comes from Students and college goers, budget was a constraint. Another important factor was to ensure some personal space and time with GIR team at the dinner venue(for honoring them). Skyway Banjara fits the bill and scores on time factor.We spent around 4 hours there with its MD to cross check each and every minute detail. Also, the added advantage is that we can spend some more quality time with GIR team apart from dinner.
PS: 1) We pulled some strings and could reduce the dinner buffet bill to
225-250 Rs. Other expenses are 4000 for mementos and 200 for flex.
We did our best to keep the expenses as low as possible. As per google
doc if 20 XBhp members are hosting and 10 GIR members are present,
the per head share would be around 500-550. We will let you know
how to settle this.
2) On 10th afternoon/evening Koushik, Ravi anna, Shabbar bhai , Harsha
and me would welcome the GIR team and escort them to the Hotel. I
request you to come along with us, if possible,
3) Since, we are host and not guests and 10th and 11th are weekdays,
we request you to follow the timings strictly,
4) Kiran anna, Ravi anna and Shabbar bhai, please take proper care of
the print media (photo shoot and coverage),
5) Riding on these two days would strictly require you to wear proper
riding gears and all the necessary documents,
6) If anyone can help us with media/newspaper coverage, it would be
grateful,

I know this is a big post, but please go through it and pour in your feedback. Let's get together in good numbers and make these two days ultra memorable for GIR team (and us too).
