You can very well join. But please confirm as soon as possible as ananth need to book stay and most importantly food

Do i need to service the bike. My bike is due for second service which still has 1000KMS to go. I thought after the trip i can give her for service.. That way she would have reached 3K kms. Riding gears i have ordered them online so will be with me in a week or so. And what docs do we need to have?
Photo copies of the originals are enough right ? along with original driver's license?

There would be a pre-ride and we would discuss all the necessities for the trip. The pre-ride is for the newbies participating for this ride so that fellow rider who is going to ride along would understand your riding style. However, it is also a general check to find out if any issues with our ride. Oh I forgot, there would be group riding etiquette and signaling will be briefed for better co-ordination and communication.
